2026 Information for Soroptimist Club Leaders
Nominations
Nomination forms were sent in late July by email to club email addresses and club presidents. Nominations are due to headquarters by September 15, 2026, for:
- SIA Board of Directors. Nominations are being accepted from all clubs in the electoral areas nominating this year: Electoral Area 2-Eastern Canada and Western Canada Regions; Electoral Area 4-Japan Higashi and Japan Kita Regions; Electoral Area 6-America del Sur and Mexico/Centroamerica Regions; Electoral Area 8-Japan Chuo Region; Electoral Area-9 Camino Real, Desert Coast and Golden West Regions. Nomination information can be found on the SIA website.
Electronic Ballots
Ballots to approve amendments to the SIA Bylaws (October-December 2026), to elect members the SIA Board in electoral areas/regions electing this year (November 2026-January 2027), to elect the SIA President-elect (February-April 2027) and to endorse candidates from SIA for the position of SI President (June-August 2027) will be completed by electronic ballot. Access to the club’s ballot and all information regarding elections will be sent to each club’s @soroptimist.net email address. Therefore, it is imperative that at least one club officer monitors your club email account on a regular basis for these important pieces of business. Club presidents and club treasurers will receive advance notice of all ballots at their personal email addresses as well. Clubs can access instructions on using their @soroptimist.net email address on the SIA website.
Member Portal
Club presidents, treasurers, and administrators can log into the new member portal using your individual, unique email address and password. For cybersecurity purposes, each member must have a unique email address.
You will be able to review your club roster, add and pay for new members, update club officers’ and members' contact information, make donations on behalf of the club, and much more. Tech Talk Labs with instructions for navigating these features can be found here. Please ensure your club’s treasurer and administrator are comfortable accessing the SIA website to find the administrative forms and guidance needed to carry out their duties. If this is beyond their comfort level, please assign a “buddy” to help them ease into this process.

Club Bank accounts

Accounts should have at least two signatories. One should be the club treasurer and the second should be another officer. Signatories should not be related (parent/grandparent, child/grandchild, spouse/domestic partner, sibling) by adoption, blood or marriage.

Someone who does not have signatory authority on the bank accounts should receive and review a copy of the monthly bank statements.

Reconcile bank accounts monthly.

Budgeting and Financial Reporting

Treasurers should prepare a budget at least once a biennium basis

The budget should be reviewed and accepted by the club board.

Share financial information with your club regularly.

Actual financial results should be compared to the budget and presented with the financial statements at least quarterly.

Insurance Information for Clubs in the United States
While good financial practices help protect your club, having appropriate insurance in place is equally important. Philadelphia Insurance Companies, with Arthur J. Gallagher (Gallagher) as our broker, underwrites your club liability insurance coverage. It protects Soroptimist from negligent acts resulting in bodily injury, personal injury or property damage arising from a club activity. This insurance is required for all clubs in the U.S. and the premium is paid along with SIA dues through with a $16 per member fee.You can find information on what is covered and excluded and general procedures in the club insurance overview handbook on the SIA website on the Club Administration page.

Request forms were updated in August 2026; please use the updated forms to ensure requests are handled quickly. Fill out the certificate of insurance (“COI”) request form for copies of the certificate; instructions for filling out the certificate request form also are available on the SIA website. Please request certificates 30 days prior to the event.
The updated special event application is available on the SIA website for special events that are not covered by the general liability insurance. The special event application must be submitted to Gallagher a minimum of 30 days prior to your club event in order to obtain special event coverage. Please review the insurance overview handbook for more information.
For clubs holding events where Soroptimist members serve alcohol: please see the “TIPS Training” section of the SIA website, as your club’s members are required to have completed training on alcohol service as part of our insurance coverage. If your club is holding an event where your local government jurisdiction requires a license to hold the event, please contact Gallagher immediately ensure the club has the proper documentation and coverage for the event.
In addition to the required liability insurance coverage all clubs in the U.S. and its territories carry through SIA, clubs may also purchase additional, optional insurance plans as well. Gallagher provides the optional Management Liability Insurance (also called directors and officers, or D&O, liability insurance).
Management Liability Insurance protects the personal assets of the club’s officers/board members for decisions made in good faith on the club’s behalf that may have unintended negative consequences or be called into question. The 2026 policy year runs from May 18, 2026 to June 1, 2027, but a club may opt into the coverage at any point during the policy year for the $312 premium. SIA headquarters and Gallagher strongly urges all clubs to obtain this coverage. Clubs can opt in to this coverage by submitting the management liability new enrollment form from the SIA website to Gallagher as noted on the form.
Reminder for Clubs in the United States Who Hold 501(c) Federal Tax Status
All clubs holding any 501(c) federal tax status are required to file annually a Form 990 with the Internal Revenue Service (IRS) no later than four and half months following the conclusion of the club’s tax/fiscal year; for most clubs, the deadline is November 15. Any club that has not filed an annual return for three consecutive years will have its federal tax status revoked by the IRS, which means donors will no longer be able to receive charitable deductions for their donations, and the club will be liable for federal income taxes. Per SIA Procedure B.5., any U.S. club that loses its 501(c)(3) status with the IRS will forfeit their charter and be required to re-charter with a new club name in accordance with SIA Procedure B.1. and apply for a new federal EIN Tax-ID number and then apply for IRS exempt status through SIA’s group exemption.
Clubs that have gross annual income of $50,000 or less may file their annual return by the “e-Postcard” system. Filing with the “e-postcard” system generates a receipt, which can be printed and saved. Please make sure you file this postcard by the November 15 deadline and save the receipt. If your club is above the $50,000 threshold, file the appropriate form with the IRS before the November 15 deadline. SIA headquarters also urges all club treasurers to provide verification of the filing to the club president/board of directors. If using the “e-postcard” system, simply provide a copy of the receipt to verify the filing.
All series 990 forms, including the 990 and 990 EZ must be filed electronically. The IRS maintains a list of Authorized IRS E-file Providers for tax-exempt organizations. There is usually a fee to download the software or to use the cloud-based system to prepare/file your 990. Please be aware that SIA has not vetted any of these authorized e-filer providers, and each club must determine the best e-filer based on its own individual circumstances. There are also online reviews that compare series Form 990 e-filer providers, which your club may want to consult. Again, SIA has not vetted any of these providers or reviews. Make sure your club can save a copy of your 990 filing, and any transmission receipts provided by the e-filer for your club’s records.
Beginning in the 2026-2027 club year, the IRS will now require SIA, as the parent organization of the 501(c)(3) group exemption to exert more oversight of financial reporting for all clubs and regions that are part of the group exemption. Please stay tuned for more information on these requirements, and submission of information, as the specifics are finalized.

Votação eletrônica

Portal das associadas
As presidentes, tesoureiras e administradoras dos clubes podem acessar o novo Portal das Associadas usando seus endereços de e-mail e senhas individuais e exclusivos. Por motivos de segurança cibernética, cada associada deve ter um endereço de e-mail exclusivo.
Você poderá revisar a lista de associadas do seu clube, adicionar novas associadas e efetuar pagamentos referentes a elas, atualizar as informações de contato das dirigentes e das associadas do seu clube, fazer doações em nome do clube e muito mais. O Tech Talk Labs, com instruções sobre como usar esses recursos, está disponível aqui. Verifique se a tesoureira e a administradora do seu clube conseguem acessar o site da SIA sem problemas para encontrar os formulários administrativos e as instruções necessárias para desempenhar suas funções. Caso enfrentem dificuldades, designe uma “companheira” para ajudá-las a realizar esse procedimento.

Contas bancárias do clube
